How to Delegate Access to Other Exchange Users (Alternate)

The method to delegating Access to other Exchange users in the other article is effective; however, it does not allow you to select one individual folder for sharing. This method will.

Follow these steps to delegate access to individual folders in Outlook.

1. Navigate to "Folder Permissions," some folders will have this option accessible in the drop down after right clicking.

Note: Some folders will not have this option, instead you may have to navigate to "Properties."

When this dialogue box opens, select "Folder Permissions."

2. Select "Add" to give permissions (Delegate Access) to another account.

3. Choose the account you would like to share with and select "Add."

4. In this step you may modify which permissions this account will be delegated. There are presets beside "Permission Level," ("none" circled in red) but you may also create your own settings, such as making only the folder visible (also circled in red) as well as many other options. Then press "OK."

Note: Here is an example of what the "Editor" permission level looks like.

*** A common mistake many people make when delegating access to specific folders is trying to share a sub-folder, without giving any permissions to the parent folder. If you share a sub-folder without giving any permissions regarding its parent folder, the other account will not be able to open the sub-folder. To fix this issue, you must repeat this process for the parent folder and under permissions only check the box "Folder Visible" with "None" selected for both "Delete Items" and "Read."
