How to set up a POP3 account in Outlook 2003, XP

1. To set up a new POP account in Outlook 2003, click on the Tools menu in the upper left hand corner of Outlook.

Click on  "Email Accounts...".

If you can not find "Email Accounts..." click on the expand arrow at the bottom of the Tools menu.

2. Select “Add a new e-mail account” under Email.

Click next.

3. Select POP3.

Click next.

4. Fill in the required User, Server and Logon Information.

After completing, you must click “More Settings”. If you continue on without this your email will not work properly - sending within your company will work, but outside will not.

User Information:
Your name: FIRST LAST (COMPANY) (e.g. "John Doe (Example)). This is the name used in the “from” field in emails. It will be the name people see when they receive an email from you or your company. This name can also be used to reinforce company branding, but the it must be kept short to avoid being truncated on a screen.
Email address: Full email address: first.last@example.com

Server Information:
For both use PIM.YOURDOMAIN, using your domain name.

Logon Information:
User name: Full email address: first.last@example.com Outlook will assume your username is only part of your email address but you must fill in your full email address.
Password: case sensitive

5. After you've clicked "More Settings", click to the tab “Outgoing Server” and check the box “My outgoing server (SMTP) requires authentication”.

The selection “Use same settings as my incoming mail server” will automatically be checked. Do not change this.

6. In the Advanced tab you need to change the Outgoing server (SMTP) box to 587.

If you fail to change this setting may prevent email from sending with some ISPs. This setting must be changed to comply with firewalls and ISPs. Also, changing this setting enables email clients on notebook computers to work from any location with any Internet provider.

Click OK.

7. To test your email set up click "Test Account Settings...".

If your email is set up correctly click Next.

If Outlook indicated an error with your set up, review the the set up steps for accuracy and test again.

8. You have completed the POP3 account setup. Click Finished.

In addition to the Outlook test, an even better test to determine if your setup was completed correctly is sending an email to a friend. If your friend receives the email you've correctly set up your email account.

If your friend does not receive the email check to make sure you selected the "My outgoing server (SMTP) requires authentication" box and changed the Outgoing port to 587.
