Dealing With Spam When It's Not Spam (Ham?)

Sometimes spam filters can falsely detect spam, and messages that are actually perfectly legitimate can trigger a "false positive".

Should you receive a message that has been marked as spam but actually is a legitimate message, there are a few easy steps to return the message to your inbox.

  1. Locate the message that has been marked as spam in your inbox.

  2. Open up the message that has been detected as spam. Note the email address that the message was sent from. Do you recognize it? Is it reputable? Also note the content preview. This area shows you a preview of what is included in the message that has been marked as spam.

  3. Note that the message mentioned the original message that was marked as spam is attached. We can easily click it and view the message.

  4. When and if we determine that the original message is indeed a legitimate message, we can drag and drop it into the inbox from the attachments. Once we drag it into the inbox, Outlook treats the message as if it were never spam.

  5. If you feel this email should not be flagged as Spam - particularly if this is a recurring issue, you can take action to resolve it. Consider the information contained in the Spam report. It may explain why the message was flagged as Spam. Sometimes the location the email was sent from, or even the content of the email, may make it suspicious enough for the system to flag the message.

If you need help understanding the report, or want to request a whitelist in order to prevent false positive spam detections in the future, forward the spam report to your IT support.

  6. Once you have dealt with the email, you can delete the copy contained in the Spam message as it is a duplicate.
