Creating An Outlook Data File
Introduction:
With the size limitation of 2GB in mind, it's important to store your email in other locations off of the server. This guide outlines how to create outlook data files so that you can sort your email in a data file stored locally.
Steps:
-
Open up Microsoft Outlook and select file in the upper left corner.
-
Click on account settings and choose "Account Settings..." from the drop-down menu.
-
In the window that pops up, click on the Data Files tab.
-
Click the add button on the Data Files tab.
-
If you know how to find your folder on D: drive, skip to step 10. Navigate to your folder so we can store a new data file. Start by clicking on computer.
-
Click on the Data (\\HSRSS-TS) (D:)
-
Click on the files folder.
-
Click on the outlook folder.
-
choose the folder that matches the first part of your email (before the @). For the purposes of this guide, the folder is bbtester.
-
Once you have navigated to your folder, you can name the data file whatever you like and click OK.
-
You can close out of the window that was open in the background.
-
You'll notice that your new data file is listed in the sidebar. You can now add folders and move messages off the server to the local date file.
