How To Archive/Export an Outlook Data File

Sometimes it will be necessary for you to save a file that exists in Outlook offline. These are the steps to export a file so it can be imported into another Outlook account or saved offline if your mailbox is full.

1. While you have Outlook open go to File, Open and select “Import.”

2. In the dialogue box that opens select “Export to a File” and click Next.

3. Select “Outlook Data File (.pst)” and click Next.

4. Select the folder which you want to archive. Make sure “Include subfolders” is checked if you want to select any other folders that may be in the folder you selected. Click Next.

5. Select where you would like to save the file.

6. You have the option to password protect the file. Leave this blank if you do not want to password protect the file.

7. Your archived data file is now ready.

Note: This folder must be opened in Outlook.
